Cold call script to get past the gatekeeper

The gatekeeper is an ally, not an obstacle. Be honest, be brief, and make their job easy.

The scenario

The script

You reach the front desk or an executive assistant and need to be put through to the decision maker.

YouHi, maybe you can help me — I'm trying to reach Giulia who runs procurement. Is she the right person for supplier contracts?
ProspectShe is. What's this regarding?
YouTotally fair to ask. It's about the packaging supplier review she's likely running this quarter — I'm not selling on this call, I want to see if it's worth 15 minutes of her time. Is she in?
ProspectShe's in a meeting. Can I take a message?
YouPlease. Tell her Andrea called about the packaging review and I'll try again tomorrow around 9 — is morning usually better to catch her?
ProspectMornings before 10 are your best bet.
YouThat's genuinely helpful, thank you. I'll call at 9:15 tomorrow and ask for you if I get stuck.
ProspectSure, ask for Paola.

Make it land

  • Treat the gatekeeper as a colleague — 'maybe you can help me' invites cooperation.
  • Answer 'what's this regarding?' with a specific business reason, never 'it's a sales call' or a dodge.
  • Ask when the person is easiest to reach; you're gathering intel for the callback.
  • Get the gatekeeper's name and use it next time — you become a familiar caller.

If they push back

'We don't take sales calls.' — 'Understood, and I respect that. This is about a review she's likely already running — if she says it's not relevant, I won't call back.'

How Tepio helps you run it
