Cold call script for a dental clinic

This is care, not sales. Sound warm, make booking effortless, and remove the friction that made them lapse.

The scenario

The script

You call a patient who is overdue for a checkup to re-book them without sounding like a sales pitch.

YouHi Ms. Ferri, it's Anna from [your company] Dental. Our records show it's been over a year since your last checkup — I'm just calling to make sure you're not overdue for something simple. Is now okay?
ProspectOh — yes, I've been meaning to book, just never got around to it.
YouThat's completely normal, life gets busy. The good news is a checkup and clean is quick, and catching things early saves the bigger visits later. Shall I find you a slot now while we're talking?
ProspectI suppose I should. Do you have anything after work?
YouWe do — Tuesday at 6 or Thursday at 5:30. I'll text you a reminder the day before so it doesn't slip again.
ProspectThursday at 5:30, then.
YouBooked. And if anything's been bothering you since last time, mention it and the dentist will take a look.
ProspectThank you, that's kind.

Make it land

  • Frame it as care and prevention, never as filling the appointment book.
  • Remove friction — book the slot live during the call, don't ask them to call back.
  • Offer after-work times; lapsed patients usually lapsed over scheduling.
  • Promise a reminder; the no-show risk is exactly why they fell behind.

If they push back

'I'll call back to book later.' — 'Of course — but people rarely do, and then it's another year. Let me hold Thursday 5:30 now; you can always move it.'
